Getting Started
How do I create my first note?
- Tap the + button in the bottom-right corner

Your first note will appear on the canvas under a category.
What are categories?
Categories are the large square nodes on your mind map that act as visual containers for related notes. Each category has:
- A name (like "Work", "Personal", "Goals")
- A color (for visual distinction)
- A position on the canvas
- Child notes (smaller rectangles) attached to it
Default categories: New users get starter categories like Personal, Work, Goals, Ideas, Tasks, and Tutorial.
Categories
How do I create a new category?
Three ways to create categories:
- Manual Creation: When creating a manual note, select "Create New Category" from the category dropdown, enter a name, and pick a color from the 24-color palette
- AI Suggestion: When the AI suggests a category from voice notes, toggle on "Create suggested category" before creating the note
- Voice Detection: Simply speak about a new topic in a voice note and the AI will detect it and suggest creating a category
Can AI suggest new categories?
Yes! When you record a voice note about a topic that doesn't match your existing categories, the AI will detect it and suggest creating a new category.
You'll see:
- A suggested category name based on your note's content
- A toggle switch to enable creating the suggested category
- The option to edit the suggested name if you prefer something different
The AI analyzes your note content to identify when you're discussing a distinct new topic that would benefit from its own category.
How do I edit a category?
- Tap any category on the mind map to open its details
- Tap the "Edit" button at the bottom (next to Delete and Close)
- Change the category name in the text field
- Pick a new color from the 24-color palette (colors in use by other categories show an indicator)
- Tap "Save" to apply changes
Important: All notes in that category will instantly update to reflect the new color on your mind map.
How do I delete a category?
- Tap the category on the mind map
- Tap the "Delete" button at the bottom
- Review the warning message showing how many notes will be deleted
- Confirm deletion
⚠️ Warning: Deletion is permanent and cannot be undone. All notes within the category will also be deleted. Make sure to archive or move important notes to other categories first.
What do the color indicators mean?
When picking a color for a category (during creation or editing), you'll see small white dots on some colors in the palette.
These indicators mean:
- That color is already being used by another category
- You can still select it if you want
- The indicator helps you maintain visual variety across categories
This visual feedback makes it easier to create a colorful, diverse mind map where categories are easily distinguishable at a glance.
Can I change a category's color?
Absolutely! Tap the category → Edit → pick a new color from the 24-color palette → Save.
Choose from a curated palette including:
- Vibrant colors (reds, oranges, yellows, greens, blues, purples, pinks)
- Browns and tans
- Grays (from light to dark)
All notes under that category will instantly update to reflect the new color on your mind map, making reorganization visually clear.
Notes & Organization
How do I create a note?
Quick answer: Tap the + button (bottom-right) → Choose voice or typing → Fill in details → Create
Two methods:
1. Voice Recording (AI-powered):
- Tap microphone button
- Speak your note naturally
- AI extracts title, content, category, tags, importance, and due date
- Review preview → Edit if needed → Create
2. Manual Typing:
- Tap "Type a note instead"
- Fill in form fields: Title (required), Content (optional), Tags (optional, comma-separated), Category (required, defaults to first), Importance (1-5 scale, defaults to 3), Due Date (optional)
- Tap "Create"
Can I use voice to create notes?
Yes! Voice recording is one of Notarra's key features.
How it works:
- Tap + button
- Tap microphone to start recording
- Speak naturally (say the title, details, category, when it's due, etc.)
- Tap stop when done
- Wait for AI processing (~5-10 seconds)
- Review the AI-generated preview
- Edit if needed or create as-is
What you can say:
- "Remind me to buy groceries tomorrow at 3pm in my personal category"
- "Important work meeting next Monday with Sarah, tag it as urgent"
- "Add a note about exercise goals, make it high priority"
How accurate is the AI voice transcription?
The voice transcription uses OpenAI's Whisper model, which is highly accurate for:
- Clear speech in quiet environments
- English and many other languages
- Various accents
- Natural speaking pace
Tips for best results:
- Speak clearly and at a normal pace
- Minimize background noise
- Hold phone at normal talking distance
- State important details explicitly (dates, categories, etc.)
Accuracy: Typically 95%+ for clear audio. If transcription has errors, you can always edit the note before creating it.
What can the AI extract from my voice notes?
The AI can automatically identify and extract:
- Title - Main topic or subject of your note
- Content - Additional details or description
- Category - Matches to your existing categories
- Tags - Keywords mentioned in your speech
- Importance - Inferred from words like "urgent", "important", "critical" (1-5 scale)
- Due Date - Parses natural language dates like "tomorrow at 3pm", "next Monday", "in 2 hours", "October 15th"
Example: You say: "Urgent work meeting with Sarah next Monday at 10am, tag it important"
AI extracts:
- Title: "Work meeting with Sarah"
- Category: Work
- Due date: Next Monday at 10:00 AM
- Importance: 5 (because you said "urgent")
- Tags: important
Can I edit AI-generated notes before saving?
Absolutely! After the AI processes your voice note, you see a preview with three options:
- Cancel - Discard everything
- Edit - Opens manual editing mode with all AI fields pre-filled (saves time!)
- Create - Save as-is
When you click "Edit", all the AI-extracted fields are already filled in. Just change what needs fixing and save.
Can the AI make mistakes?
Yes, AI is not perfect. While highly accurate, it may occasionally:
- Misinterpret speech or transcribe words incorrectly
- Extract incorrect information (wrong category, date, or tags)
- Misclassify importance levels
- Make errors in date parsing (e.g., "tomorrow" vs. "next week")
Always review the AI-generated preview before creating a note. You can tap "Edit" to make corrections or "Cancel" to start over. The AI learns from context but cannot guarantee 100% accuracy.
Tip: For best results, speak clearly in a quiet environment and be specific about dates, times, and categories.
How do I edit an existing note?
From the mind map:
- Make sure you're in view mode (not edit mode)
- Tap the note to open its detail modal
- Tap the "Edit" button in the popup menu
- Make your changes in the form
- Tap "Create" to save
What you can edit: Title, Content, Tags, Category, Importance level, Due date, Completion status (via toggle switch)
Note: "Archiving" and "deleting" are separate actions.
What's the difference between a note and a category?
Categories:
- Large square nodes on your mind map
- Act as containers/folders for notes
- Have names and colors
- Cannot be marked complete or archived
- Cannot have due dates
- Moving a category moves all its child notes together
Notes:
- Smaller rectangular nodes under categories
- Contain your actual content/tasks
- Can have due dates, completion status, importance
- Can be completed or archived
- Can have tags and detailed content
- Moving a note only moves that single note
Analogy: Categories are like folders, notes are like files.
Can I have notes inside other notes?
Yes! Notes can have parent-child relationships creating nested hierarchies.

How do I delete a note?
Currently, notes are archived rather than permanently deleted. This preserves your data while removing it from the active canvas.
To archive:
- Enter edit mode (tap edit button, top-right)
- Use the drag gesture on the note
- Note is archived and disappears from canvas
To permanently remove: Archived notes can be accessed from the category detail modal. Contact support if you need permanent deletion.
Edit Mode
What is edit mode?
Edit mode is a special mode that lets you reposition nodes on the canvas.
Toggle: Tap the edit button (top-right corner)
View Mode (default):
- Tap notes to view details
- Pan and zoom freely
- Cannot move nodes
Edit Mode:
- Drag notes to move them
- Drag categories (moves all child notes too)
- Tap to archive (depending on gesture)
- Cannot tap to view details
Visual indicator: Edit button shows checkmark and is highlighted when active.
How do I move notes around?
- Tap the Edit Mode button (top-right) to enter edit mode
- Nodes will shake to show they can be moved
- Drag a note to your desired position
- Release to drop
- Tap Edit Mode button again to exit edit mode
What happens:
- Note moves smoothly to the new position
- Position is automatically saved to the database
- Connection lines update in real-time
- Parent/child relationships are maintained
Tip: Plan your layout before moving lots of notes. Zoom out to see the big picture.
Can I move multiple notes at once?
Yes, by moving a category.
How it works:
- Enter edit mode
- Drag a category node
- The category AND all its direct child notes move together
- Relative positions are maintained
Use case: Reorganizing entire sections of your mind map without moving each note individually.
What moves:
- The category itself
- All notes directly under that category
- Child notes of those notes (full hierarchy)
Why won't my notes drag?
Most common reason: You're in view mode instead of edit mode.
Solution:
- Tap the edit button (top-right)
- Button should show a checkmark and be highlighted
- Now try dragging the note
Other reasons:
- You're dragging too quickly (not giving it time to register)
- You're dragging the canvas, not a node
- App needs to be restarted (rare)
Still not working? Try force-closing and reopening the app.
How do I organize my mind map?
Best practices:
1. Use categories for broad topics:
- Work, Personal, Goals, Ideas, Projects
- Each category becomes a visual "hub"
2. Position related notes near each other:
- Enter edit mode
- Drag notes to create visual groupings
- Use space to separate different concepts
3. Zoom levels:
- Zoom out: See the big picture, overall structure
- Zoom in: Focus on specific areas, detailed work
4. Color coding:
- Categories have different colors
- Use colors to visually distinguish areas at a glance
5. Clean up regularly:
- Archive completed tasks
- Move old notes to "Archive" category if you create one
- Keep active work visible, historical work hidden
Workflow tip: Zoom out → reorganize categories → zoom in → fine-tune note positions within each category.
Tasks & Reminders
How do I set a due date?
When creating/editing a note:
- Scroll to the "Due Date & Time" section
- Tap the calendar button
- iOS: Select date and time in single picker
- Android: Select date first, then time
- Selected date appears on the button
- Tap the X button to clear if needed
With voice notes: Just say the date naturally: "tomorrow at 3pm", "next Monday", "October 15th at 2:30"
The AI will parse and set the due date automatically.
Can I say dates naturally with voice?
Yes! The AI understands natural language dates.
Examples that work:
- "tomorrow"
- "tomorrow at 3pm"
- "next Monday"
- "next Monday at 10am"
- "in 2 hours"
- "in 3 days"
- "October 15th"
- "October 15th at 2:30pm"
- "this Friday at noon"
How it works: The AI calculates the actual date/time based on when you create the note.
Tip: Be specific about time if it matters. Just saying "tomorrow" sets it for tomorrow at midnight. Saying "tomorrow at 3pm" is more useful.
Where do I see my tasks?
Reminders Screen - shows all notes with due dates.
Access: Tap the Reminders tab in navigation
What you'll see:
- Overdue (red): Past due, incomplete only
- Today (blue): Due today, sorted by time
- Upcoming (gray): Future tasks, sorted by date
Also visible: Notes with due dates still appear on the mind map. Reminders is just a different view of the same data.
What's the difference between Overdue, Today, and Upcoming?
Overdue (Red):
- Notes that are past their due date
- Only shows incomplete notes
- Sorted by oldest first (most overdue at top)
- Urgent action needed
Today (Blue):
- Notes due at any time today
- Shows both complete and incomplete
- Sorted by due time (earliest first)
- Focus on today's work
Upcoming (Gray):
- Notes due after today (tomorrow and beyond)
- Shows both complete and incomplete
- Sorted by date (soonest first)
- Planning for the future
Key difference: Overdue only shows incomplete tasks. Today and Upcoming show everything with that due date regardless of completion status.
How do I mark a task as complete?
Three ways:
1. From Reminders Screen (fastest):
- Tap anywhere on the reminder item
- Checkbox fills, note gets strikethrough
- Done!
2. From Note Detail Modal:
- View mode → Tap note
- Toggle the "Completed" switch
- Close modal
3. From Mind Map:
- View note details (tap in view mode)
- Toggle the "Completed" switch
- Note gets diagonal strikethrough on canvas
Result: All three methods do the same thing - mark the note as complete.
What happens when I complete a task?
Visual changes:
- Mind map: Diagonal strikethrough appears across the note
- Reminders: Disappears from Overdue (if it was overdue), Shows strikethrough and reduced opacity, Checkbox fills with checkmark
- Category details: Moves to "Completed Notes" expandable section
Data changes:

Can I uncomplete a task?
Yes! Just toggle it again.
From Reminders:
- Tap the completed task

- Toggle the "Completed" switch off
- Close modal
Result: Task moves back to its original section based on due date (Overdue, Today, or Upcoming).
What is importance level?
Importance is a 1-5 scale indicating how critical a note/task is.
Scale:
- 1: Low priority
- 2: Below average
- 3: Normal (default)
- 4: High priority (shows red alert badge)
- 5: Critical (shows red alert badge)
Where it appears:
- Manual note creation: 5 buttons to select level
- Reminders screen: Red alert icon for 4-5
- AI voice notes: Inferred from words like "urgent", "important"
Use case: Helps prioritize tasks. High importance items (4-5) stand out visually.
Tip: Reserve 4-5 for truly important items so the red badge remains meaningful.
Completion & Archiving
What's the difference between completing and archiving?
Completing:
- Marks a task as done
- Note stays visible in category (in "Completed Notes" section)
- Appears on mind map with strikethrough
- Can be uncompleted
- Good for: Tracking finished work, seeing progress
Archiving:
- Hides the note from the canvas
- Removes from active view
- Still exists in database
- Appears only in category's "Archived Notes" section
- Can be unarchived
- Good for: Decluttering, hiding old notes you don't need to see
Can you do both? Yes! A note can be completed AND archived.
Recommendation: Complete when you finish a task, Archive when you don't need to see it anymore.
How do I archive a note?
Current method: Drag note onto its category in edit mode.
- Enter edit mode (tap Edit Mode button in top-right)
- Drag the note you want to archive
- Drop it onto its category node
- Note is marked as archived and disappears from canvas
Result: The note is hidden from the mind map but remains accessible in the category's "Archived Notes" section.
Where do archived notes go?
Archived notes are hidden from the mind map but accessible from the category details.
To view archived notes:
- View mode → Tap a category node
- Scroll to the bottom
- Expand "Archived Notes" section (tap chevron)
- See list of all archived notes in that category
What you can do:
- View count of archived notes
- Tap info icon to view details
- Tap undo icon to unarchive
Database: Archived notes remain in the database with archived: true flag. They're not deleted.
How do I unarchive a note?
- Tap the category node that contains the archived note
- Scroll to "Archived Notes" section
- Tap the chevron to expand the section
- Find your note in the list
- Tap the arrow icon next to the note you want to restore
- Note unarchives and reappears on the mind map
Result: The note moves back to "Current Notes" or "Completed Notes" depending on its completion status.
Can I see completed notes?
Yes! Completed notes appear in multiple places:
1. Mind Map:
- Still visible on canvas
- Has diagonal strikethrough
- Same position as before completion
2. Reminders Screen:
- Shows in Today or Upcoming (based on due date)
- Strikethrough and reduced opacity
- Does NOT show in Overdue (only incomplete tasks)
3. Category Details:
- Tap category → "Completed Notes" expandable section
- Shows count badge
- Tap chevron to expand and see list
- Tap info icon on any note to view details
Filter: In the category view, completed notes are separated from current notes for easy organization.
Categories & Organization
How do I create a new category?
Note: This feature may require admin access or specific permissions. Check your app version.
If available: Settings or admin panel may have category management. Contact support for guidance on creating custom categories.
Default categories: New users get starter categories like Personal, Work, Goals, Ideas, Tasks, and Tutorial. You can use these for most organizational needs.
Workaround: If you can't create categories, use tags to sub-organize notes within existing categories.
Can I change category colors?
Current implementation: Category colors may be preset or assigned automatically.
To check: Look for category editing options in the app, Tap a category and see if there's an edit option, Check settings for category management
Future feature: Custom category colors may be added in a future update. Submit a feature request via the Feedback screen if this is important to you!
How do I see all notes in a category?
- View mode → Tap the category node
- Detail modal opens showing:
- Current Notes: Active, incomplete, non-archived
- Completed Notes: Finished tasks (expandable)
- Archived Notes: Hidden notes (expandable)
Each note shows: Title (or content if no title), Info icon to view full details
Actions: Tap info icon → View note details → Edit or mark complete. Completed/Archived sections have count badges. Tap chevron to expand/collapse sections.
Use case: Get an overview of everything in a category without navigating the visual map.
Can I move a note to a different category?
Yes! Edit the note and change its category.
How:
- View mode → Tap the note
- Tap "Edit"
- Change the Category dropdown
- Tap "Create" to save
What happens:
- Note moves to the new category on the mind map
- Appears under the new category node
- Connection line updates to the new parent
- New category's color applies
Position: Note appears in a calculated position under the new category (non-overlapping with existing notes).
Settings & Customization
How do I change the theme?
- Hamburger menu (☰) → Settings
- Tap "Appearance" to expand section
- Tap any theme card: Light, Dark, High Contrast, High Contrast Dark
- Theme changes immediately
- Checkmark appears on selected theme
No need to save: Changes apply instantly and persist across app restarts.
What's the difference between themes?
Light Theme: White backgrounds, light grays, Blue accents. Best for: Bright environments, daytime
Dark Theme: Black/dark gray backgrounds, Purple accents. Best for: Low light, night use, reducing eye strain
High Contrast (Light): Pure white background, black text, Dark blue and orange accents. Best for: Colorblind users, maximum contrast, outdoor visibility
High Contrast Dark: Pure black background, white text, Light blue and orange accents. Best for: Colorblind users in low light, maximum night contrast
Key difference: High contrast themes use limited, carefully selected colors optimized for colorblind users (deuteranopia, protanopia, tritanopia).
What are high contrast themes?
High contrast themes are specially designed for accessibility, particularly for colorblind users.
Features:
- Maximum contrast between text and background
- Limited color palette (2-3 colors max)
- Colors chosen to be distinguishable by colorblind users
- No gradients or subtle color variations
Supported colorblindness types: Deuteranopia (red-green, most common), Protanopia (red-green), Tritanopia (blue-yellow)
Color palette: Light: Black, white, dark blue, orange. Dark: Black, white, light blue, orange
Why blue and orange? These colors are distinguishable by all types of colorblind users.
How do I change font size?
- Settings → "Font Settings" → Expand
- Scroll to "Font Size" section
- Tap one of the 5 "A" buttons: Small, Regular (default), Medium, Large, Extra Large
- Size changes immediately
- Selected button highlights in accent color
Visual guide: The "A" buttons themselves increase in size from left to right, showing you the relative scale.
What it affects: All text throughout the app (notes, UI, buttons, menus).
What is OpenDyslexic font?
OpenDyslexic is a specialized font designed for people with dyslexia.
Features:
- Weighted bottoms on letters (prevents flipping/rotation perception)
- Unique character shapes (reduces confusion between similar letters)
- Increased spacing
- Developed specifically for readability with dyslexia
Who should use it: Users with dyslexia, Users with reading difficulties, Anyone who finds it more comfortable (some non-dyslexic users prefer it for focus and reading speed)
How to enable: Settings → Font Settings → Tap "OpenDyslexic" card
Note: Even if you don't have dyslexia, try it! Some users find it helps with concentration and reduces reading fatigue.
What is Notarra Style font?
Notarra Style is a handwritten/sketchy font that gives the app a creative, mind-mapping aesthetic.
Fonts used: Headers: Permanent Marker (bold handwriting), Body: Excalifont (hand-drawn, whiteboard style)
Best for: Users who want a creative, visual thinking vibe, Making the app feel more like a physical whiteboard/notebook, Visual learners who prefer less formal typography
Trade-off: Slightly less readable than Standard fonts, especially at small sizes. Recommended to use with Medium or Large font size.
How to enable: Settings → Font Settings → Tap "Notarra Style" card
Do my settings save?
Yes! All settings are saved automatically and immediately.
What's saved: Selected theme, Selected font style, Selected font size, Expanded/collapsed section states (in Settings)
Where it's saved: Local device storage (AsyncStorage), Persists across app restarts, No internet connection needed to change or save settings
Syncing across devices: Settings are currently device-specific. If you use Notarra on multiple devices, you'll need to set preferences on each device separately.
No manual save: Changes apply instantly - no "Save" button needed.
Accessibility
Is Notarra accessible for colorblind users?
Yes! Notarra has built-in features specifically for colorblind accessibility.
High Contrast Themes: Light and Dark variants, Use blue/orange color palette, Colors chosen to be distinguishable by all colorblindness types, Supports deuteranopia, protanopia, and tritanopia
Other features: Color is not the only indicator (icons and text labels too), Clear visual hierarchy, Large touch targets, High contrast ratios

Is Notarra accessible for users with dyslexia?
Yes! Notarra includes OpenDyslexic font specifically for dyslexia.
Features: OpenDyslexic3 font (designed for dyslexia), 5 adjustable font sizes (small to extra large), Clear visual hierarchy, Spatial organization (mind map instead of linear lists), Voice input (avoid typing if difficult)
How to use: Settings → Font Settings → Select "OpenDyslexic"

Can I use Notarra with a screen reader?
Yes, Notarra is designed with screen reader support.

Can I make the text bigger?
Yes! Notarra has 5 font size options.
Sizes: 1. Small - Compact, 2. Regular - Default, 3. Medium - Slightly larger, 4. Large - Bigger for easier reading, 5. Extra Large - Maximum size

Technical
Does Notarra work offline?
Partial offline support:
What works offline: Viewing existing notes, Navigating the mind map, Changing settings (theme, font), Reading note details
What requires internet: Creating new notes (needs to sync to database), Editing notes (needs to save changes), Voice transcription (requires OpenAI API), Real-time syncing across devices
Recommendation: Use Notarra with an active internet connection for the best experience.
Future: Full offline support with sync-when-online may be added in a future update.
Where is my data stored?
Database: Supabase (cloud database)
What's stored: All your notes (title, content, tags, importance, due dates), Categories (names, colors, positions), User account information, Device preferences (theme, font)
Location: Backend: Supabase cloud servers, Frontend: Cached locally on your device for performance
Security: All data transmitted over HTTPS. Database has row-level security policies.
Is my data private?
Yes, your data is private.
Access: Only you can see your notes, Notarra development team can access data for support/debugging (not routinely accessed), Not shared with third parties
Feedback exception: When you submit feedback, we receive your message, email, and device info. Used only for product improvement.

Recommendation: Don't store highly sensitive information (passwords, financial data, etc.) in notes.
How do I sync across devices?
Automatic syncing: All notes sync automatically to the cloud (Supabase) when you create or edit them.
To access on another device:
- Install Notarra on the second device
- Log in with the same account
- Your notes appear automatically
Real-time sync: Changes made on one device appear on other devices in real-time (requires internet).
Settings sync: Currently, settings (theme, font) are device-specific. You'll need to set preferences on each device.
Conflicts: If you edit the same note on two devices simultaneously, the last save wins. Avoid editing the same note on multiple devices at once.
